Guide to sending safety data sheets to the NCEC

How to Send Safety Data Sheets to the NCEC for inclusion in the Chemsafe Longstop database

Thank you for sending your Safety Data Sheets (SDS's) to the NCEC for inclusion in the Chemsafe Longstop database. To help us process your information as quickly and efficiently as possible, we have produced the following guidelines.

Electronic SDS's

Safety Data Sheets are stored in the Chemsafe Longstop database as electronic documents. All documents are indexed by name plus any synonyms or tradenames, product codes and UN number as appropriate.

Formats accepted

  • PDF
  • Microsoft Word/Word Perfect
  • Text/RTF

Data may be sent by email or on CD. If you want to use an alternative, please contact us to discuss it.

Each SDS should be in a file of its own. For e-mail submissions, you may find it easier if you gather and compress large numbers of files using, for example, Winzip.

Index files

It would be very helpful if you could send an index file, listing product name against filename for the SDS's you have sent (this is not necessary if your submission is less than 50 SDS's). Index files may be a table, a list, or a spreadsheet. Often you may already have a suitable index, for example from your records, or perhaps in a table within a database or on a web site.

Index files should contain the following information

Product name, file name, and if possible, SDS Revision date.

If available, synonyms, trade names, product codes and UN number would be useful.

Paper SDS's

If there is no electronic version, the NCEC will scan paper SDS's and convert them to PDFs for inclusion in the Chemsafe Longstop database. Documents should be printed on a good quality printer to ensure that a good image can be obtained. Double sided printing is OK.
